Property Rent Value Determination

With local knowledge and client needs in mind, we work together to determine the potential monthly income for your property.

Prepare Property For Rent

A thorough inspection is completed at the end of each tenancy. Does paint need a touch-up, how are the window coverings? Does the flooring or appliances need updating, general wear and tear need attention? Details are reported to you for direction.

Marketing

Web-based marketing on this site with multiple colour photos along with a standing block ad in the local Rocky Mountain Goat newspaper.

A Rustic Luxury rental sign will be placed at the property to catch street views and increase community exposure.

Facebook advertising, when appropriate, on the local pages.

Tenant Screening

A standard application is provided to each interested tenant and I personally interview each eligible applicant to ensure only the most qualified tenant(s) for your property. Employment, income, and housing references are required.

Security Deposits

A security deposit of half of one month’s rent is collected on each new tenancy. If pets are approved, an additional half month’s rent is collected as a pet damage deposit as well. Deposits are forwarded to the property owner to hold until the tenancy completes and must be refunded within 15 days of move-out, minus any agreed-upon damage deductions.

Rent Collection

Rent is due by the 1st business day of each month and is considered late and penalized if received after the 3rd business day.

Owner payments are forwarded by the 15th of each month.

Property Inspections

Completed at the beginning and end of ALL contracts with the tenant(s) present using a thorough Condition Inspection Report, these are compared for discrepancies, missing items and damage which may be deducted from the tenant’s security deposit. At the same time, we also note preventative maintenance items that may be of interest or concern for the property owner. Property inspections are completed within the first 3 months of a new tenancy, and then annually after that.

Additional inspections can be scheduled at the owner’s request at $25/visit. Insurance required unit and vacancy inspections would fall under this category.

Accounting Services

The Buildium program is used for tracking all income and expenses, tenant information, and all property transactions. You will have online access 24/7 to your owner portal where you access a wide range of financial reports at your convenience.

All work orders, invoices and receipts are kept on file for 7 years. We can also scan and upload copies of any of this documentation if requested.

A pooled trust account at CIBC is used for all rental transactions, is audited annually by an independent accountant, and reported to the Real Estate Council of BC. Annual reporting of Trust account balances is sent to the CDIC for deposit insurance coverage.

Documentation

Following your direction, as your agent, I negotiate and sign contracts on your behalf.

Residential Tenancy Agreements, Real Estate Council Disclosure documents, and move-in / move-out Condition Inspection Reports are all completed with the tenant to help develop a great working relationship based on agreed upon parameters, encourage tenants to take pride in their new home, and create the legal records required.

Landlord Headaches

We handle all emergencies for the owner. E.g. If a water heater starts leaking on New Year’s Eve, the tenants call us instead of the owner. If there is a noise complaint from a neighbour, we’ll handle the communications and follow-through. If there’s damage from a storm, if asked, we will call the insurance company and work with the adjuster.

Repairs, Maintenance and Property Improvement Services

Timely and competent maintenance is the key to protecting your investments. While some small issues can be resolved by our handyman service, most repairs will be handled by independent third-party vendors or outside contractors, selected for their ability to provide quality service at the best price. Owners reserve the right to schedule and control repair and maintenance responsibilities if they prefer.

Management Service Rates

Initial Setup

$125 flat rate
  • Create the Management Agreement with owner's approval of terms.
  • Perform initial property audit & photograph property.
  • Provide owner with suggestions for repair, maintenance, and upgrading options.
  • Create database and tracking forms for owner, property, and tenants.

On-going Management

10% of collected rent
  • Rent collections.
  • Maintain open communication with tenants.
  • Pursue remedies for tenancy issues.
  • Arrange for maintenance and repairs to preserve and increase property value and to comply with landlord responsibilities under the Residential Tenancy Act.
  • Periodic interior inspections of property and drive-by inspections of exterior.
  • Provide access to cloud-based Buildium program for financials.

Incidental Services

$40/hr per service
  • Occupancy reports.

  • Arbitration processes.

Complete Tenant Placement

50% of 1st month's rent
  • Vacancy marketing.
  • Answer inquiries, personally show property, screen & select tenants.
  • Complete Tenancy Agreement forms with owner's approval of any additional terms and conditions.
  • Collect and forward security deposits.
  • Complete move-in / move-out condition inspections with tenants.

Partial Tenant Placement

$250 flat rate

For owners who wish to find their own tenants.

  • Coordinate current tenant move-out and new tenant move-in.
  • Calculate damage deposit return.
  • Complete condition inspection reports.
  • Complete Tenancy Agreement.
  • Collect and forward security deposits.
